How do I manage school and instructor availability?

School operating hours and instructor availability are separate. Keep both current, record time off, and review conflicts before confirming bookings or instructor assignments.

Quick answer

School operating hours and instructor availability are separate. Keep both current, record time off, and review conflicts before confirming bookings or instructor assignments.

How do I manage school and instructor availability?

Open School → Operating hours to set the school's weekly opening pattern. Open Team → Team calendar and the instructor availability tools to manage the people who can teach within it.

Keep availability accurate

  1. Check your school's timezone and opening days.
  2. Set or update instructor availability for the intended dates.
  3. Record unavailable periods, time off, and outside commitments.
  4. Check the chosen lesson duration and resort when reviewing an available slot.
  5. Review the booking or assignment result before telling the learner it is confirmed.

School opening hours alone do not guarantee that a suitable instructor is free. Cross-school commitments and supported external-calendar busy events can affect availability too.

Requests for other times

Availability requests let a learner ask about an unpublished time. Review the date, duration, learner requirements, and actual instructor availability before responding. Sending a request is not an instant reservation or payment.

External calendars and planning

Use Google Calendar and iCal integrations [blocked] to bring supported busy events into the checks. The importer has format limits, so enter unsupported commitments manually.

Heatmap or forecast views help planning when available, but do not replace the final booking checks. Do not assume that seasonal prices alter operating hours or that a calendar recommendation automatically publishes bookable slots.
